Budget
Estimating and Budgeting an ERPNext Implementation remains to be an industry challenge. There are studies in which is shared that 70% of all ERP implementations (across all products, not only ERPNext) fail to be delivered within the estimated price. Since 2024 we have been tracking a value during our work via which we are able to make better estimates based on data history. We have learnt that one hour spent with the customer leads to an average of 10 hours working on the requirements that the customer had shared in that our. This includes project management, software development, documentation and support. We expect our customers to meet with us weekly with alone leads to a theoretical 52 one-hour consulting appointments per year. This requires a budget exceeding 5.000 EUR for just this part of the work. "Everything should work automatically" and "We only want standards like everyone else" is something that many customers share with us as a requirement. The first is very hard to do and requires to be able to explain and proove that everything can be done manually first. Repeatedly. This requires strict process and discipline that many of us do not have and are not willing to adapt to. If we don't automation is not possible. If it be sharing requirements, answering detailed questions and testing delivered solution. This work requires more resources on customer side than we might think. We work agile which requires the customer to engage with us daily if possible.
The top level requirements shared when going into an ERPNext are far away from what actually will be built. We know this. A business has it's processes and those of ERPNext are different. It takes time and requires adaptibilty and change within the customers organisation. This comes at a cost that must not be underestimated. Our goal is to create a system that will save valuable human resource long term and decrease mistaked and errors that happen in every day work. Automation is asked for. To automate we must look at every process in detail. This process will identify gaps in the process which need to be addressed and changed. Scope creep is inevitable.
Our project manager will want to meet at least weekly with the project manager on customer side and align on tasks and priorities. If such meetings are skipped we get out of touch and run the risk of working into the wrong direction. If appointments are postponed regularly the implementation work will be stopped from our side and can not be continued until resources are freed up on customer side to continue.
Business today has become more and more complex. We want our ERP to be fully online, host multi company, multi currency, multi language scenarios and combined many software products in one. And those that can not be replaced should be integrated via a bi-directional API. This is not an uncommen requirement and requires careful planning and good documentation to be acted upon.
