Assets
Fixed assets with depreciation, maintenance and disposal.
The ERPNext Assets module manages fixed assets – such as machines, vehicles or IT equipment – across their full lifecycle. Every step is documented, from purchase through depreciation and maintenance to sale or scrapping. Depreciation is posted automatically to accounting.
Asset register
Each asset has a category, location, custodian and purchase value. Assets are capitalised from purchasing or migrated as existing assets with prior depreciation. Larger projects run through capital work in progress first.
Depreciation
Depreciation schedules are calculated per asset – straight-line, declining balance or manual, including in multiple finance books. Postings run automatically on their due dates.
Maintenance, repairs and movements
Maintenance schedules remind of due dates and record completed work. Repairs are recorded with costs and can increase the asset value. Moves between locations or handovers to employees are recorded as asset movements.
Disposal and reports
Sale and scrapping post the remaining book value and gain or loss correctly. The fixed asset register shows purchase values, depreciation and book values per category.
How it connects to other modules
- Buying: Assets are procured via purchase order and receipt.
- Accounting: Capitalisation, depreciation and disposal are posted automatically.
- Projects: Capital work in progress collects costs until capitalisation.
- HR: Assets can be assigned to employees.
Frequently asked questions
What is the difference between an asset, a stock item and a consumable? Assets are capitalised and depreciated, stock items are kept with quantity and stock value, consumables are expensed directly. The item setting defines which applies.
How are existing assets migrated? As existing assets with purchase value, purchase date and depreciation already booked. ERPNext continues depreciation from the start date.
Which depreciation methods are available? Straight-line, declining balance and manual schedules. Multiple finance books allow, for example, different depreciation for commercial and tax purposes.
Can I assign assets to employees? Yes. An asset movement records which asset is with which employee or location and when.
How are maintenance and repairs documented? Maintenance schedules with tasks and intervals remind of due dates. Repairs are recorded on the asset with costs and spare parts.
